KB System is a private, access-controlled knowledge-base and chat tool operated by JajaSoft for its own internal use and for authorized businesses it works with. This page explains what data is collected and how it's handled.
Documents and transcripts uploaded into a knowledge base ("niche") are stored, processed into chunks, embedded, and indexed so they can be searched and used to answer chat questions. Chat questions and the answers generated from them may be logged so that answer quality can be reviewed and improved. Login/session data (such as a hashed password check and, for trusted-IP access, the IP address) is stored to control access to the system.
This system is password- and API-key-gated. Access is limited to the owner and to parties explicitly authorized to use a given knowledge base. Uploaded content is not made public and is only used to answer queries within the same knowledge base it was uploaded to.
Uploaded text is processed by OpenAI (for embeddings, summarization, and chat answers) under their standard API data-handling terms, strictly to power this system's search and chat features.
Uploaded documents, derived chunks/summaries, and chat logs are retained for as long as the knowledge base they belong to is in use. You can request deletion of a knowledge base or specific uploaded content via /contact.
If you are an authorized user of a knowledge base on this system, you can request access to, correction of, or deletion of data associated with your use via /contact.
